Summary:

The Operations Coordinator works with Heritage Management to support overall operational and office activities.
This role requires discretion, attention to detail, judgement and decision making, as well as access to confidential information.
The Operations Coordinator must be able to communicate clearly and effectively and work as a team member with the entire Heritage staff, committees, the Heritage Board, and other stakeholders, as well as provide leadership, and solve problems independently.
ESSENTIAL DUTIES/RESPONSIBILITIES Screen, direct, and respond to inquiries from internal and external visitors, phone calls, email, etc.
Produce, edit and compile reports, correspondence, presentations and other documents for the Heritage management team as requested.
Assist with management of department activities including the purchasing process of Agency supplies, mailings and other projects as assigned.
Technical contact for Heritage for a variety of platforms including KIN and LEARN.
Coordinate, lead, participate and prepare for project-based work as needed.
File and retrieve documents and materials.
Attend meetings while providing support with set-up and preparation of documents and materials, including zoom and hybrid meeting technology.
Manage process for consumer satisfaction survey data entry and reporting.
Coordinate efforts related to internal voluntary contribution mailings.
Work with appropriate Heritage staff to create meeting minutes and send out meeting materials and reminders to Advisory, and Board members as well as other committees as needed.
Track Board member meeting attendance, annual document completion and required training.
Keep track of required staff training schedule and send out reminders when recertification is necessary.
Track employee assets including building keys and equipment.
Assist with new employee on-boarding including coordination of training, supplies and equipment.
Maintain and update email distribution lists and staff phone directory.
Work with Fiscal to track incoming program and other donations.
Assist with planning, organizing and coordinating all agency events.
Assist with Agency staff travel arrangements to conferences and events as needed.
Maintain subcontractor files and complete year end audit.
Other duties as assigned.

Ability to provide service and greet visitors to Heritage in a courteous, prompt, and efficient manner, over the phone, in person and virtually.
Assume accountability, deal effectively and efficiently with problems, exercise independent judgment when making decisions.
Thorough understanding of Heritage policies and procedures.
Establish and maintain a positive working relationship with Heritage staff, subcontractors, partners, volunteers, donors, stakeholders and general public.
Read, understand and express oneself clearly and effectively in oral and written forms.
The nature of the position requires on-site work almost exclusively.
Occasional work from home arrangements must be made with the supervisor in advance.
Ability to work independently and as a member of a team.

MINIMUM QUALIFICATIONS FOR EDUCATION, LICENSES AND
Experience:
Associate's Degree or Office Assistant Diploma plus 1-3 years' experience.
Computer skills, knowledge of standard computer software and office equipment is required.
Licensed driver in the state of Iowa with valid insurance.
PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS OR REGISTRATIONS:
Bachelor's Degree plus 1-3 years' experience preferred.
